Job Description

Summary:

Ares is seeking an Associate for our Corporate Services Department. The Associate will provide a wide variety of general services to the company and is responsible for working with the Corporate Services team in managing both facilities and office services related activities in our London Offices.

Primary Functions & Essential Responsibilities:

  • Monitor "Facilities" helpdesk and respond to requests promptly & courteously with a strong customer service focus.
  • Process incoming and outgoing mail, Fed Ex, and UPS packages distributing as appropriate;may require periodic delivery to nearby Fed Ex drop location for items received after last pick-up
  • Resolve any courier related discrepancies (mechanical, shipping, and package tracking)
  • Manage inventory for all common use items such as office supplies, toner, and paper, utilizing company-approved vendors for replenishing stock
  • Perform general maintenance of copiers, printers, and fax machines before ascertaining whether a service call is required
  • Ensures copy room areas are clean, organized, and well-stocked
  • Assist with compiling presentation materials which may involve: copying, scanning, printing, and binding using GBC machines and materials
  • Handle sensitive and/or confidential documents and information.
  • Maintain a strong line of communication to the requestor providing updates such as ETA of completion of project(s)
  • Provide assistance for large meeting set-ups which may include light moving of furniture and supplies.
  • Contact our regular vendors for maintenance, service, and supplies.
  • Maintain external storage units.
  • Arrange desk setup for all new hires and guests ensuring required items are in place
  • Performing additional ad hoc functions, providing consistent, quality, and cost-effective services.
  • Work with both internal and external groups, as well as management, to ensure that objectives are met.
  • Administer all updates for Corporate Services International on AresConnect.
  • Assist with Health & Safety processes, i.e.: booking training and refresher trainings for First Aiders, making sure contacts are up to date.
  • Assist with DSE and Eye Care vouchers
  • Administer Access Control and manage daily badge reports
  • Assist Regional Lead with any office moves, arrange and co-ordinate logistics (Crates, name plates etc)
  • Administer any changes on Ares Maps (New joiners, leavers or any furniture change)

Experience Required:

  • 2-3 years in a Corporate Services environment
  • Knowledge of buildings, maintenance and service
  • Experience of liaising with clients, tenants, consultants and local authorities
  • Managing third party contractors (in-house and externally)

  • Exceptional customer service skills and demonstrates enthusiasm and flexibility
  • Adept at managing multiple tasks in a fast-paced environment with the ability think ahead
  • Outstanding interpersonal and communications skills and the ability to effectively interface with personnel at all levels
  • Demonstrates dependability, excellent organizational skills, business maturity, enthusiasm and a positive attitude
  • Highly motivated work ethic, with the ability to recognize when a job needs to be done and the capability to do it completely, assuming responsibility for total quality
  • Handle office services duties and day-to-day issues independently, assuming responsibility without direct supervision
  • Proficiency in MS Office
  • Able to lift upwards of 50lbs+
