As ourAdministrator Lead, you will be at the heart of our surgery guiding andsupporting a dedicated administration team. This role is designed for someonestepping into leadership, giving you the opportunity to build confidence insupervising others while still staying connected to the day to day work.
You will notbe alone. You will work closely with an experienced management team who willsupport your development, helping you grow into a confident and capable leader.

Job responsibilitiesTo provide day-to-day support, leadership and first line supervision and guidance for the administration team, ensuring an efficient and professional manner is maintained
Complete Return to Work documentation following absence
Ensure all administration duties are completed to the highest standard
Arrange inductions for new administration staff, with support from the Reception & Admin Manager
Provide communications between patients, doctors and other staff
Support the Assistant Practice Manager and Reception & Admin Manager in the recruitment and induction of all new administration staff
Ensure cover and suitable contingency plans are in place for all leave, including unforeseen absence
Ensure the promotion, monitoring and documentation of performance and quality targets (including QOF - Quality Outcomes Framework) and using IT systems and software
Undertake specific assigned tasks, project support or development work which may arise due to changes to the NHS
Deal with the day-to-day needs and requirements of the Partners and other clinical staff
Support the Reception team in the absence of the Reception & Admin Manager.
In the absence of or to support the Reception & Admin Manager, to be a point of contact for staff and patient queries and concerns
Ensure the effective use of clinical systems, IT programmes and other systems used throughout the practice
Provide support to existing staff to ensure training for current and new staff is carried out
Stay up to date through attendance at any courses and ensure that professional development requirements are met, demonstrating skills and activities to others who are undertaking similar work
Participate in meetings, take responsibility for implementing actions within the admin team
Work with other teams on providing the quality of service and patient care, in response to local and national policies and initiatives as appropriate
Support and participate in shares learning across the practice and wider organisation
Ensure compliance with policies, procedures and guidelines by acting or alerting management team if the practice contravenes policy or if there concerns over any aspect of patient care.
Qualifications- GCSE grade A to C in English and Maths
- Strong administrative experience
- Ready to grow into a leadership role
- Experience of leading a team
- Experience of working in a healthcare setting is helpful but not essential. We will support you in learning everything you need to know.
- Proficient in using IT systems (MS Word, Excel)
- High attention to detail and accuracy
- Organised, proactive, and takes ownership
- Ability to communicate clearly and confidently
- Can stay calm and focused in a busy environment
- Ability to supervise and co-ordinate workloads effectively
- Ability to prioritise tasks and work under pressure
- Enjoy helping others develop and succeed
- Knowledge of clinical systems, especially SystmOne
