Job Description

We are seeking an experienced and motivated administrator to join our friendly and busy primary care team.

We are looking for a reliable individual with strong attention to detail, excellent organisational skills, and the ability to work both independently and as part of a team.

We are a well-established, patient-focused GP practice and we pride ourselves on delivering high-quality primary care within a supportive team environment.

Main duties of the job

Summarising:

  • Extract clinical information including operations/diagnosis from new patients medical records and enter onto patients computer records following the practice protocol and QOF guidance.

Document Workflow:

  • Scan incoming clinical documents onto patients computer records, following the practice document workflow process.
  • Download and process incoming electronic clinical documents (via CDS, Email and Systm 1)

Coding:

  • Code patients records with details of operations/diagnosis information retrieved from incoming clinical letters.
  • Assist the secretarial team to process outgoing patient referrals via the E-referral system. As well as preparing letters for patients/third parties.

Provide assistance with any other administrative tasks as and when required by the Management Team & Partners.

Support workflow optimisation within the practice

Assist clinical staff with administrative tasks as required

Maintain strict confidentiality in line with GDPR and practice policies

Job responsibilities

Accurately clinically code data into the patient record on the clinical system

Identifying relevant clinical information documented in patient correspondence, coding appropriately and completing any detailed action

Inputting and extracting data as required to support practice reports, audits and to capitalise upon both patient safety and QOF income

Scanning patient related documentation and attaching scanned documents to patients healthcare records

Assist the secretarial team to process outgoing patient referrals via the E-referral system. As well as preparing letters for patients/third parties

Highlight all timely actions, changes to patient care and management to the relevant clinician

File and store records as required

Action all incoming correspondence, emails and mail in a timely manner

Input data into patients healthcare records as necessary

Maintain a clean, tidy, effective working area at all times

Support all clinical staff with general administrative tasks as requested

Undertake a broad spectrum of administrative duties commensurate with the role

Be an integral part of the general practice team

Be aware of duties and responsibilities regarding current legislation and adhere to practice policies and procedures on safeguarding adults and safeguarding children

Support in the delivery of enhanced services and other service requirements

Undertake all mandatory training and induction programmes

Contribute to and embrace the spectrum of clinical governance

Person Specification Qualifications
  • A good standard of education with and expectation of having both GCSE Maths and English at Grade C (Level 4) or above, or Functional Skills Level 2 in Maths and English
Experience
  • Knowledge and skills
  • Experience of working as a clinical coder
  • Excellent communication skills and effective in communicating and understanding patient needs
  • Competent in the use of MS Office and Outlook
  • Problem solver with the ability to process information accurately and effectively, interpreting data as required
  • Ability to use own initiative, discretion, and sensitivity
  • Able to get along with people from all backgrounds and communities, respecting lifestyles and diversity
  • Ability to work as a team member and autonomously
  • Excellent communication skills and effective in communicating and understanding patient needs
  • Sensitive and empathetic in distressing situations
