An opportunity has arisen to recruit an experienced Administrator to work in the Safeguarding Team including cover for Adults / Children /Maternity and the Multi Agency Safeguarding Hub on a weekly rota.
Applicants should be flexible; reliable; enthusiastic and enjoy working in a team environment. This post would suit somebody who is proficient in administrative skills, organised and can work to deadlines, whilst continually prioritising workloads.
The successful candidate should have excellent interpersonal communication skills and will need to deal with confidential and sensitive issues in a professional manner.
Please note that due to the nature of the team's remit, you may be exposed to potentially emotive case content which involves children and families. Support will be available.
The central base would be Blakenall Village Centre but will require additional travel to work from both NHS and non NHS locations across Walsall, including Walsall Multi Agency Safeguarding Hub (MASH) at the Civic Centre and Walsall Manor Hospital.

Main duties of the jobThe post holder will provide comprehensive, flexible and efficient administrative services to the Safeguarding Teams, which includes Safeguarding Children's Team, Safeguarding Adults, and the Children in Care Teams.
The post holder will be expected to respond promptly and efficiently to all routine requests and to work collaboratively with the Admin Team Leader for Safeguarding Administration and Business Support Manager. The post holder will provide administrative support for the Safeguarding Children's Team, working with highly sensitive, confidential information and will be required to adhere to information governance policy and procedure at all times.
The post holder will manage administrative systems to support the Safeguarding Children's Team; ensuring all systems are fit for purpose, effective and adhere to governance arrangements.
The post holder will be responsible for taking duty calls into the Safeguarding Team and correctly recording details of the caller and transferring the calls to and liaising with the duty nurse for the Safeguarding Children's Team, Safeguarding Adults Team or the Children in Care Team.

Job responsibilitiesMain Duties
Operational Responsibilities
To provide comprehensive administrative support services for the Safeguarding Team.
Responsible for conducting electronic health system searches (such as CarePlus, Fusion, and Medway and BadgerNet) to obtain relevant health information on children and their families to support the weekly MARAC (Multi-Agency Risk Assessment Conference) and and daily Domestic Abuse Triage.
Be responsible for acting as a focal point for general enquiries into the Safeguarding Team, taking messages and communicating them in a timely and effective manner confidentiality must be maintained at all times in line with the Data Protection Act and Trust policies
Produce high quality documents (letters, spreadsheets, presentations, e-mail etc) as required from written or direct dictation using Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and preparation for mailing, electronically, or by post
Communicate effectively with Health Professionals with general enquiries into the Safeguarding Team and take accurate information before passing to the relevant Duty Nurse.
Ensure adherence to the Domestic Abuse Procedure for Healthcare Staff in respect of administrative duties for MARAC including using electronic health systems to conduct accurate searches on children and their families. This will include timely distribution of information to health staff within agreed timescales.

Ensure all data in relation to monitoring is recorded in a timely manner to be utilised for the Trust Annual Report or for reports requested by the Head of Safeguarding Team/Lead Nurse for Safeguarding Children.
To maintain an accurate system of addition and removal of flags ensuring strict adherence to timeliness for children who are subject to a Child Protection plan both in and out of borough.
Following the Court Statements Standard Operating Process to ensure requests are sent to Health Professionals in a timely manner. Assist with editing final court statements before being submitted to the Legal Team in a timely manner.
Ensure the flagging system is audited on a quarterly basis to reassure clinicians of accuracy.
Routine data entry onto confidential databases and accurate entry of sensitive information.
Update and maintain effective filing of electronic data storage systems for the named Nurses including the safe keeping of all confidential documents
Person Specification Qualifications- GCSE or equivalent - Maths and English
- Substantive experience in an office administrative role.
- Experience of using Microsoft Office packages at a high level including producing documents and spreadsheets.
- Experience of working in a Safeguarding environment or NHS setting.
- A good understanding of GDPR and confidentiality
- Good communication skills both written and verbal
- Ability to demonstrate good resilience, dealing with sensitive and highly confidential infomation
- Ability to develop and maintain effective office systems
- Demonstrates a high level of accuracy recording data, correspondence sent internally and externally.
- Ability to navigate various NHS systems.
