Job Description
Administration Assistant Paediatric Diabetes Team

This post predominantly provides the administrative support for the Children & Young People Diabetes specialist nursing team. The post holder will work closely with the nursing and clinical teams and receive direction and information from the Paediatric Diabetes Specialist Nurse Lead. The post holder will directly report to the Directorate Support Manager in relation to people management matters such as performance appraisal, training & development, and attendance management.

The post holder will provide an accurate, efficient and confidential secretarial/administrative support service to the Children and Young Peoples Diabetes Multi-Disciplinary Team. This support will also include triage of telephone enquiries, data entry for annual and national audits, audio typing of letters and completing supplies ordering. The role includes other duties appropriate to the preparations for clinics. In particular, support is required in the diabetes clinic, downloading information from patient devices.

Main duties of the job
  • Provide a full range of secretarial/administration duties to the team. Receipt of incoming mail, telephone calls and e-mails.
  • Triage of calls to the team from parents and other professionals - recording and escalating these calls as appropriate.
  • Typing of reports, minutes, agendas, general correspondence, presentational material, etc.
  • Other administrative tasks as appropriate.
  • Attend off site/community meetings with the team to take minutes, produce reports and circulate to the wider team.
  • Arranging meetings, school visits, home visits, patient education sessions, taking notes and drafting minutes, coordinating follow-up action as required.
  • Maintenance of filing systems.
  • Photocopying and collation of documents.
  • Maintenance of databases, in particular the DIAMOND activity database for the Children & Young People Diabetes team, which logs admissions and attendances.
  • Submission of data to the National Paediatric Diabetes Audit, ensuring accuracy and completeness of data.
  • Input of Daily Activity Recording onto IPS for relevant staff.
  • Co ordination and ordering of supplies for Children & Young People Diabetes service users, understanding of stock levels and equipment needed.
  • Assistance with formatting rotas for the team.
  • Any other duties within the general scope and context of this post.

If successful this vacancy will require a Standard DBS check at a cost of £26.90. This cost will be deducted from your first Trust salary. In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16.

Person Specification Education & Qualifications
  • Good general education (5 GCSE or Equivalent, including English and Maths) or equivalent experience
  • Basic secretarial / business administration qualification
Experience
  • Typing
  • ECDL or equivalent
Knowledge
  • Worked in health care setting
Skills
  • Computer Skills, including advanced keyboard skills, Word, PowerPoint, Excel, database.
  • Able to work on own initiative without constant supervision
  • Able to communicate effectively, record accurately, organise and prioritise work, have good numeracy and telephone skills
  • Able to work well as part of a team, and be flexible/adaptable
  • Knowledge of Hospital PAS/Patient Centre and Healthroster systems
