Job Description
Administrative Officer

Location: 379 York Road, LS9 6TA Pay rate : £12.71ph Monday-Friday 9am-5pm

What you'll be doing:
  • Acting as the first point of contact for visitors, telephone callers and people on probation-welcoming them professionally face-to-face, by phone and email
  • Logging arrivals and departures, notifying the right member of staff and issuing visitor passes/security fobs as required
  • Answering reception enquiries with clear, basic information, and escalating more detailed questions to the appropriate manager
  • Using observation and situational awareness to help diffuse potentially difficult situations, recognising when additional support is needed
  • Remaining alert to safeguarding/risk indicators and taking appropriate action, including updating relevant records where necessary
  • Managing key building logistics including mail, ordering stationery/PPE, supporting meeting rooms and event set-up/registration
  • Supporting day-to-day petty cash and travel warrants arrangements
  • Helping maintain building health & safety and security, including operating physical security as a key holder, monitoring CCTV, supporting alarms/testing, and assisting evacuation measures (where trained)
  • Logging building faults/incidents, escalating maintenance needs and making urgency decisions within guidelines
  • Providing confidential, high-level administrative support for operational case administration when required (including filing, producing correspondence, scanning/archiving sensitive data and updating records)
What you'll bring:
  • Proven proficiency in ICT, with strong skills across Microsoft Office applications
  • Excellent verbal and written communication skills-clear, respectful and confident
  • A professional, empathetic approach-supporting diversity and anti-discriminatory practice in everything you do
  • The ability to work at pace while maintaining accuracy, especially when situations become stressful
  • A strong sense of responsibility and discretion when handling sensitive and confidential information
  • The confidence to support colleagues and cover during periods of absence (training will be provided)
Additional information:
  • Core hours include regular unsocial hours (evenings and/or weekends) based on business need, including late night cover
