Team Secretary / Legal Business Coordinator - Law Firm - Manchester / Hybrid Working - Competitive Salary + bonus & benefits

We are looking for a highly organised, professional and proactive Team Secretary / Legal Administrator / Legal Business Coordinator, with the ability to manage a busy and heavy workload and support a number of people, to join a successful law firm, in a new and exciting role in the Resourcing and Complementary Services team.

Joining a market-leading organisation in a newly created role, you will draw on your experience as a Legal Secretary / Legal Administrator / Business Coordinator in a fast-paced law firm to provide excellent levels of support and assistance in HR consultancy, client training and client secondment services.

You will work closely with key stakeholders and will liaise with clients directly, so we are looking for someone with confident communication and strong interpersonal skills.

Key responsibilities will include:

  • Acting as the first point of contact for client secondment requests
  • Maintaining accurate records of all client secondments, maintaining internal trackers and budgets
  • Assisting with the collation of monthly timesheets for secondments, preparing accurate payroll spreadsheets and liaising with payroll team
  • Assisting with the creation of contracts and/or engagement letters for clients, consultants and secondees
  • Managing IR35 compliance queries
  • Assisting with new joiner administration and resource management
  • Supporting training events including marketing, managing the attendees and dealing with enquiries
  • Monthly billing processes and matter/file opening
  • Coordinating diaries and meetings
  • Arranging travel as needed

What we're looking for:

  • Experience as a Team Secretary / Legal Administrator, ideally in a law firm
  • An understanding of how a law firm operates
  • Highly organised nature with excellent attention to detail
  • Experience with billing processes and matter/file opening is advantageous
  • Strong IT skills including MS Office applications
  • Confident communication skills with the ability to liaise at all levels professionally, confidentially and tactfully
  • Ability to work efficiently to meet deadlines
  • Proactive, professional and personable team player
  • Ability to maintain confidential and sensitive information
