About the Role

We are seeking a highly organised and proactive Scheduler & Forward Planner to join our team at Komfort Kare.

This is a key coordination role responsible for building, managing, and optimising care schedules, while also taking a forward planning approach to workforce and service delivery.

You will play a central role in ensuring:

  • Efficient use of staff resources
  • High quality, continuous care for clients
  • Stable and cost effective schedules
  • Reduced reliance on reactive, last minute changes
Key Responsibilities
  • Proactively plan schedules based on forecasted demand, capacity, and growth
  • Develop medium and long term scheduling plans
  • Anticipate and respond to seasonal, regional, and service driven changes
  • Build and publish weekly care schedules using rostering systems
  • Allocate carers to clients to ensure best fit and continuity of care
  • Manage changes due to availability, care needs, and service demands
  • Coordinate cover for sick leave and unplanned absences
Daily Scheduling Operations
  • Review schedules daily to ensure full coverage of all care calls
  • Resolve conflicts quickly with a solution focused approach
  • Maintain schedule stability while adapting to real time changes
  • Conduct regular reviews to identify gaps in coverage, travel inefficiencies, underutilised capacity
  • Optimise routes and scheduling to improve productivity
  • Use data and reporting to drive continuous improvement
  • Develop structured carer runs to support client consistency, carer predictability, operational efficiency
  • Ensure realistic travel times and balanced workloads
  • Monitor and report on schedule efficiency, travel time, coverage levels, gap reduction
  • Work closely with Care Managers, Coordinators, carers and clients
  • Provide scheduling support to operational teams
  • Build strong cross functional relationships
  • Ensure all scheduling aligns with HIQA and internal standards
  • Maintain accurate records and audit trails
About You

You are a detail oriented and solution driven professional with strong coordination skills and the ability to manage complex schedules in a fast paced environment.

  • Experience in scheduling, coordination, or workforce planning
  • Strong administrative and organisational skills
  • Experience managing and maintaining schedules
  • High level of IT literacy (Excel, rostering systems, MS Office)
  • Excellent communication and stakeholder management skills
  • Experience in healthcare or home support services
  • Familiarity with HSE systems or scheduling platforms (e.g. One Touch Health)
  • Previous coordination or team leadership experience
